Terms and conditions/cancellation policy

1. General
The Factory will not be held responsible for any act of non-provision of services supplied by a third party.

It is recommended that all guests take note of the fire procedures.
Any damage to the premises fittings in any way will be the financial responsibility of the event organisers.

No liability will be accepted from whatever cause for any goods and personal belongings left or placed in the premises.

Anyone displaying drunken or violent behaviour will be asked to leave the premises. We reserve the right to refuse admission to known troublemakers or eject anyone found to be making trouble at the event.

Admission is totally at your own risk. The Factory has no liability for the transmission of infectious diseases whether perceived or real.

2. Children
It is the responsibility of parents/guardians to ensure the safety of their children and their good conduct with respect to other guests and the contents of the premises (see point 1 above re. damages). Children must be supervised at all times and not encouraged to leave the premises unaccompanied, in particular to not loiter in the car park or the street. (see point 11)

3. Deposits, Confirmation of Booking and Contract
Provisional bookings are held for two weeks before a Deposit is required to secure the reservation. The date of your function will be confirmed by the payment of a deposit of the venue hire fee. All deposits should be considered non-refundable (see below). The date will not be secured until such payment is received. You will be required to sign to say that you have read and accept our terms.

4. Cancellations
Once initial confirmation has been received, all cancellations or amendments must be advised in writing to us as soon as possible. The cancellation charge is your deposit for the hire of the room. It may be possible to use your deposit against a different date if occurring within 6 months of the original cancelled date.

We will make every effort to resell the space for a similar sized event. Should this be possible we will waive all such cancellation charges.

We strongly recommend that you insure yourself against any cancellation or reduction in numbers.
The Factory reserves the right to cancel any booking, without any liability on its part, in the event of damage or destruction to the premises and grounds, strikes, or any other cause beyond our control including closure of the venue due to Government instruction. In any of these circumstances the deposit is non refundable

5. Prices
Prices are subject to variation. Where a Party is booked more than six months in advance, prices will be firmly fixed at the prices prevailing at the ‘final arrangements’ meeting usually held no later than 3 weeks prior to the event.

6. Final Numbers
Final numbers are to be advised at least two weeks prior to the date and this will be the number of meals to be charged in full. Should numbers fall, we reserve the right to charge for the original number booked. Once final numbers are given, a final seating plan will be agreed with the Wedding Coordinator.

7. Settlement of Account
A pro-forma invoice for the cost based on accurate numbers given and any extras ordered, will be due for settlement two weeks prior to the event. Invoices for any additional services should be settled on departure from the event. It is agreed that any food, drink or services not mentioned in the contract but asked for subsequently will be paid for when the bill is presented. For any outstanding balances we reserve the right to charge interest at 2.5% for each 28 day period. Any items missing from the pro-forma will be added to the extras invoice to be paid on departure.

8. Arrival and Departure Times
These do have to be strictly adhered to. Please pass on departure times to your guests as agreed with us. The bar closes at midnight and guests are required to leave the premises by 12.30am. Vehicles can be left in our car park overnight at owner’s risk. Our gates will not be locked in this event.

9. Final details and Pro-forma Invoice
Three weeks prior to the event, we will discuss the format of the day and take your instructions regarding aperitifs, wines, announcements, timings and cake cutting etc.

10. No-Smoking Policy
A no-smoking policy operates within the premises. Guests may use the balcony (weather conditions permitting on the day) and also the car park.

11. Licensing Restrictions
Our normal licensing restrictions apply – no discos supplied by third parties and no bands. Light music such as jazz, string quartet, solo singer or keyboard is permitted at our discretion. We offer free use of our sound and light system and guests can connect their own laptop, MP3 player or use CDs). The music system is controlled by the staff and not accessible at any time to the guests. A laptop can be placed on the bar top for you to select music throughout the evening, but entirely at your risk. We will not be held responsible for damage to your equipment caused by guests. The Factory is in a residential area and so we strictly control the music volume, and ask guests to respect our neighbours when leaving the premises at anytime, especially late at night. You are advised to book transport (ie. taxis) in advance and then wait inside the premises. We do not look favourably upon guests waiting in the street as this can lead to unnecessary noise for our neighbours.

12. Maximum Numbers
Our maximum seating capacity for a formal meal is 48 and a maximum of 100 for the evening party.

13. Decorations & Confetti
The throwing of confetti and use of table confetti is allowed within reason. Candles are allowed in suitable containers to be approved by us. It may be possible to attach certain decorations to the walls and fixtures within the premises as advised by us; please make arrangements in advance for this.

14. Third party suppliers gaining access
We cannot guarantee a time on the day of the Wedding Reception when the room will be ready for the positioning of name cards, favours, etc. Our usual procedure is for the Bride to organise a day/date when these items will be handed over to the Wedding Coordinator who will take full instructions from the Bride regarding the decoration of tables. This also applies to the Cake Maker, Florist, and entertainment people who should liaise with the Wedding Coordinator via the Bride regarding a suitable time to arrive on the day.

15. Provision of Alcohol
Guests wishing to provide their own Wines or Champagne will agree to pay a corkage fee of £7 per bottle for wine and £10 per bottle for Champagne. Anyone found to be consuming ANY alcohol not purchased from our premises, or subject to corkage, will be asked to leave. We will try to stock any particular drink you ask for, although this may not always be possible.
